How do we manage to design personnel administration and recruiting even more excellent? By improving our candidate journey and employee experience. Through strong employer branding and the introduction of a new, digital milestone for the personnel sector: Personio.

For us XITASOnians, the most important factor is that the person perfectly fits into the team. Of course, the level of expertise needs to be fulfilled, but the mindset, the attitudes, and values are even more important. In order to attract the people who suit us best, we invested strongly in employer branding, and the positioning and development of XITASO as an attractive employer. These include, among others presence on job platforms as well as target-group specific events and job fairs. In the latter case, we are meanwhile active at many locations. We are continually searching for new colleagues who share and live our philosophy of excellence and our values. In order to optimize time while retaining our high quality for everyone we adjusted our three-step recruitment process in 2023. Simultaneously we want to give both the applicant and us the necessary space to make an informed decision. When hiring the focus is on one central question: Is XITASO the right ‘fit’ for you? To find out, we heavily rely on both multi-subjective peer-recruiting and an excellent candidate journey. How do we achieve this? By allowing applicants to meet potential companions and teammates in the respective process steps, thereby gain worthwhile insights from first hand.

The Screening Call focuses on a first impressions, both in a personal and professional way.

Following that, the Technical Interview video call, deep dives into the technical expertise and methodical approach to problems.

Finally, the XITASO Experience supported by two XITASOnians takes preferably place at the nearest company location. The applicants receive authentic insights into their future daily work routine, as well as our way of co-working. A final decision with feedback always follows in a personal meeting directly at the XITASO Experience day.

Personio is a huge relief for us. Both for the recruiting process and for internal HR processes.

Excellence already starts with tooling. The introduction of Personio meant to digitize and thereby significantly optimize the entire HR sector as well as the candidate and employee experience. Personio covers everything from digital recording of application processes up to the digital signature of employment contracts.

Applicants can now easily enter their details and upload documents via our careers page. One click, and the application is uploaded in our system with all relevant information. Documentation and communication is enacted directly in your profile. Of course everything is GDPR compliant. Personio also helps us to create a meaningful reporting. Which channels perform particularly well? How many applications do we receive per position? What is our time-to-hire? All together this ensures more targeted recruiting.

Personio can however do even more and supports the XITASOnians on their way to digital excellence. The core module personnel administration gives us the possibility to digitize and (partly) automate personnel processes, by, amongst others, the linking and connecting other systems and tools. For example, contracts and forms can be created and signed digitally, completely paperless. The transformation from previously manual data maintenance into various systems and excel files to a simplified maintenance of personnel data in just one system provides us with great added value. Especially for preparatory payroll accounting and billing with a direct interface to DATEV. But also, cross-departmental processes like on/offboarding can be covered by Personio, enabling more efficient cooperation.

In addition, there are several self-service possibilities for XITASOnians: from now on everybody can call up their own pay slip or individually manage personal data like address, home office equipment, driving license etc. For an improved employee experience and simultaneously a digital, more efficient personnel administration.
